What you get.
Every Retell voice call gets scored, qualified, and followed up within minutes. CRM updated, personalized email sent. No rep touches the process until the lead is ready for a conversation.
Forty calls a day. Zero follow-ups sent on time.
Retell handles 40+ inbound calls a day. Each call produces a transcript that nobody reads. The lead sits unscored. The CRM record is untouched. The follow-up email does not get sent until someone remembers, and by then the lead has gone cold. A caller who asked about pricing for a 15-person team yesterday is now comparing you to the competitor who replied in 5 minutes.
The transcripts pile up in a dashboard. Once a week, someone skims through them and cherry-picks the ones that sound promising. The rest are ignored. Leads that could have converted with a timely response sit in a queue until they are irrelevant. Budget signals, competitor mentions, and feature requests from those calls never make it into the CRM.

Before you delegate.
- 01What if Doe scores a lead wrong?Lead scores are based on signals extracted from the transcript: budget mentions, team size, buying timeline, and competitor references. If a signal is misread (for example, interpreting a casual mention as budget confirmation), you can adjust the score in Salesforce and tune the scoring criteria over time.
- 02Does Doe send the follow-up email automatically or does it wait for approval?By default, follow-up emails are sent automatically. You can enable review mode where drafts queue for approval before sending. Most teams auto-send for inbound inquiries and use review mode for higher-value leads.
- 03Can Doe handle calls in languages other than English?Doe processes whatever transcript Retell provides. If Retell transcribes calls in Spanish, French, or other supported languages, Doe can extract signals and draft follow-ups in that language. The quality depends on Retell's transcription accuracy for that language.
- 04What happens if the caller is already in Salesforce?Doe matches callers to existing Salesforce records by phone number and name. If a match is found, the existing record is updated rather than creating a duplicate. New call data is appended to the activity timeline on the existing contact.
- 05How does the lead scoring work?A 0-100 score based on configurable criteria: budget signals, team size, buying timeline, competitor evaluation stage, and sentiment. Each criterion has a weight you define.
- 06Can I customize the follow-up email template?Yes. You provide a base template with placeholders for dynamic content (pricing tier, features discussed, next steps). Doe fills in the specifics from the transcript. You control the tone, structure, and what gets included.
